Freight is where exhibition projects usually go wrong, and it rarely announces itself early. A stand can be designed, approved and fabricated on schedule and still miss the show because a carnet was filed late or a hall build-up slot was misread. We treat logistics as part of the build rather than something arranged afterwards: the transport window is fixed at design stage, when there is still time to change the design if the route demands it.

Customs — EU and Beyond

Within the EU, goods move from our Milan workshop with no customs declaration and no duty, so the constraint is road transit and the hall build-up window. Outside the EU, stand materials travel under an ATA Carnet or standard import documentation, and we allow ten to twelve weeks. Island and long-haul destinations change the maths again: Malta is sea or air only, and Iceland sits in the EEA but outside the customs union, so declarations apply even from an EU origin.

Between events we store stands and modular systems in our own facilities in Milan and Casablanca, inspect them, replace graphics and consumables, and ship them onward. For exhibitors running several shows a season this removes both a warehousing cost and the risk of a system arriving in a condition nobody checked.

How Much Should an Exhibition Stand in Europe Cost?

Realistic budgeting for Europe comes down to three variables: your booth’s footprint, whether you’re building custom or modular, and how far ahead you start. The 8–10-week lead time we recommend isn’t arbitrary. It’s the point past which freight and production costs start climbing due to rush fees. If you’re planning multiple shows this year, ask us about a modular system scoped for reuse. It usually costs more than a single custom stand upfront but less across the full season.

Questions Worth Asking Before You Commit

Beyond the standard checklist, a few less obvious questions are worth raising early when planning a stand for Europe: does the venue allow overnight access during build-up, is there a dedicated loading dock or shared access with other exhibitors, and what’s the actual cancellation or rescheduling policy if the show date shifts. These details rarely show up in a show organizer’s exhibitor manual until you go looking. They can materially affect both timeline and cost. We check these specifics as a standard part of scoping any Europe project rather than assuming a standard process applies.

What If Our Booth Size Changes Close to the Show?

It happens more often than exhibitors expect. An organizer reallocates hall space, or a last-minute budget change means scaling a booth up or down. We build a small amount of flexibility into the design and material order wherever the venue and timeline allow, so a modest size change doesn’t automatically mean starting the design process over from scratch.

Can you ship a stand built elsewhere in Europe to Europe, instead of building locally?

Routes we already run. Recent European and long-haul delivery includes a 45 m² stand for Hetero Labs at the IAS Conference in Kigali, Rwanda, booth 403; 15 m² for Tata Coffee at World of Coffee in Geneva, booth 1435; and six stands at a single Vitafoods Europe edition in Barcelona. Do you handle customs clearance?

Yes. Freight, customs clearance and venue compliance documentation are handled by the same team that builds the stand. For shipments from outside the EU we work under an ATA Carnet or standard import documentation and allow ten to twelve weeks.

How long does freight take within Europe?

Road freight from our Milan workshop reaches most of Central and Western Europe quickly. The binding constraint is usually the hall build-up window and organiser approvals rather than transit time. For the Baltics, Nordics and island destinations we set the transport window at design stage.

What about destinations outside the EU?

Non-EU destinations require customs clearance and, in most cases, an ATA Carnet for reusable stand materials. We handle the documentation. Allow ten to twelve weeks for goods shipped from Europe.

Do you store stands between shows?

Yes, in our own facilities in Milan and Casablanca. We inspect the system after each show, replace graphics and consumables, and ship it to the next venue.

Can you ship a stand we did not build?
