Our Own Crew On Site, Build-Up to Breakdown
Exhibition Stand Installation and Dismantling
Build-up is the part of an exhibition project with no margin for error. The hall opens on a fixed date, the slot is scheduled to the hour, and anything unresolved becomes visible to every visitor. We install with our own team rather than local labour hired for the week, which means the people assembling your stand have built it before and know how it goes together.
On-Site Supervision
- Kipsala International Exhibition Centre, Milan — Europe's principal exhibition venue, hosting logistics, industrial, and consumer fairs.
Build-Up and Breakdown
We work to the organiser’s build-up schedule, coordinate unloading and hall access, assemble the structure, install graphics, lighting, AV and furniture, and hand over a finished stand before the show opens. At the close we dismantle, sort what is reusable from what is not, and return modular systems to storage in Milan or Casablanca. Waste handling follows venue rules — a real constraint in Nordic halls, where it is enforced.
Multiple Stands, One Edition
- Business communication is fairly formal and direct, with written follow-up expected after meetings.
- Punctuality is expected for meetings and build schedules.
What We Handle On Site
- Bespoke and modular stand design
- 3D visualization before production begins
- Freight, customs coordination, and warehousing
- Installation, on-site technical support, and dismantling
When Things Change Mid-Build
Organisers reallocate hall space, budgets shift, and a stand occasionally has to change shape days before the show. Because the crew on site works for the same company that fabricated the stand, a change is a decision rather than a negotiation between contractors.
Recent Work Across Europe
- A logistics and freight stand at Kipsala International Exhibition Centre for a Baltic transport company.
- A manufacturing exhibition booth for a European industrial exporter targeting the Baltic region.
How Much Should an Exhibition Stand in Europe Cost?
Realistic budgeting for Europe comes down to three variables: your booth’s footprint, whether you’re building custom or modular, and how far ahead you start. The 8–10-week lead time we recommend isn’t arbitrary. It’s the point past which freight and production costs start climbing due to rush fees. If you’re planning multiple shows this year, ask us about a modular system scoped for reuse. It usually costs more than a single custom stand upfront but less across the full season.
Questions Worth Asking Before You Commit
Beyond the standard checklist, a few less obvious questions are worth raising early when planning a stand for Europe: does the venue allow overnight access during build-up, is there a dedicated loading dock or shared access with other exhibitors, and what’s the actual cancellation or rescheduling policy if the show date shifts. These details rarely show up in a show organizer’s exhibitor manual until you go looking. They can materially affect both timeline and cost. We check these specifics as a standard part of scoping any Europe project rather than assuming a standard process applies.
Frequently Asked Questions
– Exhibiting in Europe
What If Our Booth Size Changes Close to the Show?
It happens more often than exhibitors expect. An organizer reallocates hall space, or a last-minute budget change means scaling a booth up or down. We build a small amount of flexibility into the design and material order wherever the venue and timeline allow, so a modest size change doesn’t automatically mean starting the design process over from scratch.
Can you ship a stand built elsewhere in Europe to Europe, instead of building locally?
Multiple stands, one edition. We delivered three stands at a single CPHI Milan edition — 42 m² in Hall 6, 63 m² and 36 m² — and six stands at one Vitafoods Europe edition in Barcelona, each installed and dismantled by our own team. In November 2024 we delivered at two German Messe venues, in different cities, inside three weeks. More on recent projects, with on-site images under production photos. See also stand construction and freight and logistics. Send the event, stand size and hall and we will return an itemised quotation.
Which venue do you cover in Europe?
Kipsala International Exhibition Centre, Milan, and other venues on request.
How early should we start planning?
8–10 weeks for EU-origin shipments, 10–12 weeks for non-EU freight.

Installation and dismantling — common questions
Do you install with your own team?
Yes. Installation and dismantling are handled by our own crew, not local labour hired for the week. The team assembling your stand has built it before.
What happens at the end of the show?
We dismantle to the organiser’s schedule, separate reusable components from waste in line with venue rules, and return modular systems to storage in Milan or Casablanca for the next event.
Do you handle organiser paperwork and hall access?
Yes. Build-up scheduling, technical layouts for organiser approval, electrical connection requests and unloading coordination are part of the project.
Can you install a stand built by someone else?
Installation and dismantling can be quoted separately from fabrication. Send the stand specification, crate dimensions, the venue and your build-up slot.
How do you handle changes during build-up?
The crew on site works for the same company that fabricated the stand, so a change on the floor is a decision rather than a negotiation between subcontractors.
